An In-Depth Explanation of Roles and Permissions Within Club OS

When a club completes a hire, that new employee is appointed a role. In terms of Club OS' software, each role is a packaged set of permissions already tailored to a club's specific standards. These permissions govern what each role can or can not view or do within Club OS. For example, a low-ranking role might only be able to see a certain detail whereas a high-ranking role might actually be able alter it. As each role carries their own share of restrictions, it is important to know not only how each role relates but also to what lengths each role is capable of, as well. Provided below are Club OS' positions ranked from most-to-least powerful. Included are each role's current capabilities.

A. Restricted Club Admin

The Restricted Club admin may view/edit any Prospect, Member, Front Desk, Trainer, Sales Person, or Location Manager account. (Though not typically allowed to view another Restricted Club Admin's account, an exception may be requested by the club's owner through Club OS.) Casually, a Restricted Club Admin may occasionally be referred to as 'Club Admin (R)' or, simply, '(R)'.

Restrictions:

  • Unable to access My Club’s ‘Notification’ or ‘General’ sections
  • Unable to view system emails 

Approved by Default:

  • Email Campaigns
    • The ability to manage pre-existing Drip Campaigns
    • The ability to manage pre-existing Blast Campaigns
    • The ability to create new Campaigns (both Drip and Blast, alike)

         Exception: An individual’s access can still be revoked by, first, entering their
         Account Settings and then clicking ‘Disable Email Campaigns for employee’.

  • The ability to appear in the Digital Guest Waiver

    Exception
    : An individual’s appearance can still be revoked by entering their Account Settings and clicking ‘Exclude this employee from the digital guest waiver’.
  • Accounts:
    • The ability to merge accounts
    • The ability to bulk transfer accounts
    • The ability to auto-expire accounts
  • The ability to communicate with clients via SMS (text) and email

    Exception
    : An individual’s clearance can still be revoked or downgraded by, first, entering their Account Settings, then clicking either ‘Opt out of email communication’, ‘Opt out of SMS (text) communication’, and/or ‘Disable forwarding of email and SMS replies’.

Not Approved by Default: 

  • Not able to hide Package Setup from Restricted Club Admins

    Exception
    : An individual’s access to Package Setup can still be revoked by, first, entering their Account Settings, and then clicking ‘Disable Package Setup for employee’.

  • Not able to edit Follow-Up scripts

    Exception
    : To reverse this, a request must be made through Club OS. As a result, all Restricted Club Admins will be awarded the ability to edit.
     

B. Location Manager

The Location Manager is the last of Club OS’ roles to hold real power. Default-wise, a Location Manager is granted almost all the same opportunities for access as a Restricted Club Admin. Unlike the Restricted Club Admin, however, a Location Manager bares more automatic restrictions. The Location Manager can view/edit all Prospect, Member, Front Desk, Trainer, and Sales Person accounts.

Restrictions:.

  • Unable to access the Follow-Up schedule
  • Unable to access Package Setup
  • Unable to edit Follow-Up scripts
  • Unable to adjust location defaults or location settings 

Approved by Default: 

  • Email Campaigns
    • The ability to manage pre-existing Drip Campaigns
    • The ability to manage pre-existing Blast Campaigns
    • The ability to create new Campaigns (both Drip and Blast, alike)

         Exception: An individual’s access can still be revoked by, first, entering their  
         Account 
Settings and then clicking ‘Disable Email Campaigns for employee’.

  • The ability to appear in the Digital Guest Waiver

  • Not able to edit both past events
  • Not able to edit visit types

C. Sales Person

A Sales Person is the highest ranked employee in which serious default decisions do not so much apply. Their permissions are nearly identical to those found within the role of a Trainer. Unlike Trainers, however, a Sales Person can still appear on the Digital Guest Waiver. Sales Persons can edit/view only the Members and Prospects assigned to them.

Restrictions: 

  • Unable to manage or create Email Campaigns
  • Unable to access the Package Setup
  • Unable to merge accounts
  • Unable to allow accounts to auto-expire
  • Unable to transfer accounts in bulk

Approved by Default:

  • The ability to appear in the Digital Guest Waiver

    Exception: An individual’s appearance can still be revoked by entering their Account Settings and clicking ‘Exclude this employee from the digital guest waiver’.
  • The ability to communicate with clients via SMS (text) and email

    Exception
    : An individual’s clearance can still be revoked or downgraded by, first, entering their Account Settings, then clicking either ‘Opt out of email communication’, ‘Opt out of SMS (text) communication’, and/or ‘Disable forwarding of email and SMS replies’.

D. Trainer

Due to this role’s recent evolution, a Trainer’s access now matches a Sales Person’s almost exactly. One significant difference is the fact, that, as a Trainer is able to work for multiple club locations, that same Trainer can then also access multiple club accounts. Also, unlike a Sales Person, a Trainer can not appear in the Digital Guest Waiver. Trainers may view/edit only the Members and Prospects assigned to them.

  • Unable to appear on the Digital Guest Waiver
  • Unable to manage or create Email Campaigns
  • Unable to access the Package Setup
  • Unable to merge accounts
  • Unable to allow accounts to auto-expire
  • Unable to transfer accounts in bulk

E. Front Desk

Front Desk staff are a club’s most consistently accessible employees. They are also often a Prospect’s first official club contact. For this, Front Desk staff are granted unique access above what Trainers and Sales Persons possess: the ability to access every single Prospect and Member account. Regardless, ‘Front Desk’ is Club OS’ most restricted role. (Note: This is not a sales position.) 

Restrictions:

  • Unable to communicate with clients via SMS (text)
  • Unable to appear on the Digital Guest Waiver, the KPI, and reports
  • Unable to manage or create Email Campaigns
  • Unable to access the Package Setup
  • Unable to merge accounts
  • Unable to allow accounts to auto-expire
  • Unable to transfer accounts in bulk

Approved by Default:

  • The ability to communicate with clients via email
