This article describes how to create availability for club tours in Club OS to drive the tour event times shown on the Anytime Book a Tour form.
These event types are not covered in this article:
- One-on-One Personal Training
- Group Training/Small Group Training
- Fitness Consultations
The Book a Tour form shows available tour time slots from the club's Default Member Sales Account. Other employees' availability is not considered. Thus, you should ensure that your club's Default Member Sales account is both the correct account to use and has accurate availability set up.
How to find your club's Default Member Sales Account:
- Log in to Club OS and go to My Club.
- Select the Location Defaults tab.
- If you have access to multiple clubs, select a club from the drop-down menu.
- View the selection for the Member Sales menu. This is the club's Default Member Sales Account.
How to create availability for tours:
- Review the general information for how to set up availability in Club OS, including every-week and specific-week availability.

Navigate to the Default Member Sales Account and set the availability for club tours:
- The availability event type should be Appointment or Any, depending on whether the slot is only open for tours, or whether you want the slot open for any event type to be booked.
- Set the number of tour events you want to make available. Once the max number of events has been reached in the time slot, it will become unavailable on the Book a Tour form.
How availability works on the Book a Tour form:

Time slots that have been set to Appointment or Any availability for the Default Member Sales Account will appear as available, as long as there are remaining event slots open.

If you have set availability for multiple events (e.g. 2 appointments), the time will appear available until all slots have been used.
- The exception to this is that if there is an event in the time slot that is not an appointment, the appointment slot will not be shown as available even if there are technically slots remaining (i.e. a prospect cannot book a tour with the Default Member Sales Account if they have a different event type occurring at that time).
- Events where the attendee has been set to Cancel, No Show, or Rescheduled will not take up an open time slot.

If you have set availability for multiple events (e.g. 2 appointments), the time will appear available until all slots have been used.
- When a prospect books a tour on the Book a Tour form, a tour event will be created on the Default Member Sales Account's calendar.
