New Features

Online Cancellation Requests

  • Members can now submit cancellation requests directly through a dedicated online form, making the process easier and more accessible. Clubs can define their own cancellation terms to display on the page, and will receive an email notification for each submission. All requests are also tracked in a centralized 'Cancellation Requests' report for easy follow-up and recordkeeping.

 

Profile Picture Sync for Members and Prospects

  • Profile pictures are now automatically synced between systems for both members and prospects, ensuring consistent visuals across platforms. If you would like this done more urgently, you can request a one-time sync to update all existing data—if no request is made, we’ll handle the update for you in the next few weeks.

 

Bug Fixes & Improvements 

CRM 

  • Fixed an issue in ClubOS ONE where the search action button was missing from the advanced search page 
  • Users logging in through the new Club OS login page are now automatically redirected to the correct application based on their account permissions, without seeing the intermediary button page. This update streamlines access to Club OS ONE and ASF, making the login experience faster and the URLs easier to remember. 
  • Addressed an issue where deleted users were still receiving some system emails. 
  • The new Follow-Up Schedules and Scripts page was improved for automatic follow-ups to require a send time/minute delay to be defined if a schedule edit is made to change a touchpoint from one type of automatic follow-up to another (zero-day vs. 1+day). 
  • Users will now experience improved email validation when creating staff accounts in Club OS. The system ensures that email addresses are only checked against existing staff roles, preventing errors related to duplicate emails in unrelated roles or locations.  
  • Staff users can now efficiently search for members and prospects using barcodes or external system IDs in both Quick and Advanced searches. 
  • Password reset emails from the app.club-os.com login page will now be delivered even if an email address is marked as invalid or on the suppression list, ensuring users can always regain access to their account. 

 

MMS 

  • Enhanced duplicate user detection for ASF<>ClubOS integration. Inactive memberships will now be updated in ASF to transfer existing ClubOS user data to new, active memberships. 

 

Billing 

  • The ‘Pause Billing / Freeze Access’ panel is no longer displayed when viewing prospect account details in Member Management. 
  • During IBB Pilot, it will no longer be possible to change the payment day using the First Due Date field in the Member Management timeline. Once live, the bill cycle day can be edited via Member Management. 
  • Addressed an issue allowing users to pause billing while past due invoices exist. 

 

API Updates 

  • Updated ASF Integration API v2 endpoint posPurchase to support purchase of zero-dollar session items as a means to provide existing members with promotional training sessions. 
  • Addressed an issue with ASF API v2 endpoint clientAccess sometimes returning empty results. 
  • Updated ASF Integration API v2 endpoint scheduledMembers to return a proper error response when a user attempts to update an event via POST request using a member that is already registered for the event. 
  • Addressed a cache issue causing ASF Integration API v2 to return 500 Internal Server Error responses intermittently.
