What are the schedule ahead settings?
The Schedule Ahead settings found in Setup My ASF are used to setup parameters for members scheduling themselves into and cancelling themselves from events. These settings should be used if you need restrictions in place for these functions.
The Schedule Ahead settings are accessed through Setup My ASF in the Settings page.
There are 3 fields that may be edited as part of these settings:
-
Hours Ahead of Class to Cancel: The number of hours in advance that members are allowed to cancel themselves from an event they are scheduled in. A setting of 0 means no restriction.
- Example: When set to 8, members will not be allowed to cancel less than 8 hours from the scheduled event start time. In mobile apps, members will be prompted to call the club to cancel.
-
Days in Advance that Classes are Visible: The number of days in advance that members will see events that they can register for.
- Example: When set to 7, members will only be able to book classes that are scheduled in the next 7 days. Classes beyond 7 days will not be bookable online.
-
Hours Ahead of Class to Schedule: The number of hours in advance that members are allowed to schedule themselves into an event. A setting of 0 means no restriction.
- Example: When set to 8, members will not be able to book an event in the 8 hours prior to the event. If a class is scheduled at 4pm, booking would close at 8am.
Use the Edit option to change these settings.
Where are these settings used?
The schedule ahead settings are used in the following places to prevent members from booking outside of your defined window:
- FitBudd mobile app
- MyClubAccess mobile app
- Online Connect scheduler
For clubs integrating with third party scheduling tools these settings drive booking windows that are included in the events API.
