Member Support Update ☎️
Effective May 8th, 2026, member support officially transitioned to email and webform-only support. This transition is designed to provide a more efficient and consistent support experience, with faster routing, clearer communication, and improved request tracking.
This change applies only to member support. Support for your staff and club employees will remain unchanged and will continue through existing channels.
All references to our member support phone line and email address have been updated to direct to our new online form and AI chat agent. Including:
- Add-on email templates
- Failed payment notifications (NSF letters)
- Paper billing statements
- Emailed billing statements (including French Canadian translations)
- Legacy billing statement emails
- MyASFAccount login page
- MyClubAccess login page
Pre-Sale Mode: Display "TBD" for Dates on Contracts and Online Enrollment 🆕 (More Info)
- Clubs selling memberships before their official opening date can now enable Pre-Sale Mode, which replaces start date, first billing date, and end date with "TBD" on member contracts and throughout the online join experience. This prevents inaccurate dates from appearing on legally binding agreements when an opening timeline hasn't been confirmed.
- It is recommended while in pre-sale to set up an offer with a fixed beginning date of 1/1/2030. The ClubOS team will assist in updating memberships once an official open date is known.
Bug Fixes & Improvements 🐛
Add-Ons
- A new "Status" column is now visible in the recurring add-ons list within Member Management, showing whether an add-on is Active or Active – Pending Cancel.
- The Delete button for add-ons in Member Management now only allows deletion of outstanding one-time charges, preventing accidental removal of recurring add-on records. Recurring add-ons are managed via cancellation functionality.
- The Add-On Charges Detail report now supports filtering by multiple add-on descriptions simultaneously using checkboxes rather than a single dropdown selection.
- For memberships with start dates in the future, addressed an issue that was preventing add-ons associated with the membership from using the correct future start date.
Online Check-In
- Addressed an issue in Online Check-In where the Upcoming Schedules Breakdown display was not updating correctly in real time after a member scan.
- Addressed incorrect capitalization in the Online Check-In notification message displayed when a member has multiple upcoming events within 15 minutes.
- Addressed an issue preventing automatic refresh of the Recent Check-Ins list for check-ins via ASF Integration API.
Scheduling
- Addressed an issue in MyScheduler where using Multi Event Editor to change the trainer across a large number of events would fail.
- Addressed an issue in MyScheduler where trainers were unable to save their own schedule hours due to a permissions conflict introduced by recent security updates.
Enrollment & Membership Management
- Addressed an issue in the online cancellation form where members could click the submit button multiple times during processing, resulting in duplicate cancellation emails being sent.
- Addressed an issue in Online Join where tracking pixels were not loading correctly due to a content security policy conflict with third-party scripts.
- Improved duplicate handling for enrollment scenarios when prospects are enrolled again under a prospect offer. Replacement logic will now be used to maintain a historical record.
- Addressed an issue where non-admin users were unable to view staff user permissions.
- Addressed an issue with accounts not being automatically flagged for return after no successful payment within the last 120 days.
- The Returns report now includes member demographic and contact information directly in the report when the Directory toggle is enabled.
- Addressed an issue on the Cancellation Rules preferences page where the Contact email field could not accept more than 20 characters; the limit has been increased to 250 characters.
- Addressed an issue that was preventing all payment methods from appearing in Member Enrollment for some paid in full offers.
- Addressed an issue that prevented some members from being correctly added to a membership at the time of sale when duplicate data was entered for the buyer and secondary member, and the 'Buyer is not a member' option was selected.
Entry Sentry
- Addressed an issue in the EntrySentry desktop application where the close gate signal was not being sent after a card scan.
Invoice-Based Billing
- Addressed an issue in Online Check-In where a member's past due balance was not flagged after a recent payment decline.
- Addressed an issue where past due accounts were not being automatically flagged for return as expected by the 120-day client preference.
- Addressed an issue in Member Management where the remaining term balance displayed incorrectly after a billing pause.
- Improved the accuracy of billing information to maintain fresh statistics and better handle inactive subscription data.
- Addressed an issue in Member Management where the next payment amount and next due date displayed incorrectly after a membership replacement involving prior subscription price changes.
- Addressed an issue where pausing a term membership with an open-end renewal resulted in an incorrect billing resume date and unexpected invoices/balances.
Mobile
- Addressed a display issue on the MyClubAccess login page that prevented the page from rendering correctly on iPad devices.
API Updates
- Addressed an issue in ASF Integration API v2 where creating a user with a null altAccountNumber value in the request returned a 500 error.
CRM
New Features
- Up to 10 custom fields are now available as a club-level setting, allowing clubs to track unique information per individual and providing enhanced data management. These fields will soon be available to set when creating users via API to support tracking additional metadata on leads.
- The Digital Guest Waiver builder now supports external link buttons, allowing club admins to direct guests to outside websites, such as third-party waiver forms, without creating a lead within ClubOS.
- Webhooks can now be configured to automatically notify third-party integrations when a new lead is created in ClubOS, sending key lead details such as contact information, marketing source, and interests.
- Google Tag Manager tracking can now be configured when setting up a landing page, allowing you to more easily track the activity and traffic on your published pages.
Bug Fixes & Improvements
- Leads created via landing page forms will now reflect the page name as a default marketing source when "Default to page name" is selected.
- Formatting of the Edit Event window has been modified to increase user readability.
- Improved the process that handles inventory calculations to dramatically speed up processing. Inventory calculations will now be consistently processed in a few seconds
